01 / Make each line traceable to the request
Include line reference, manufacturer, full manufacturer part number, total required quantity and notes. Add reference designators where useful. Separate per-board usage from purchase quantity and state build volume. Keep your internal item code so returned quotations map back to your BOM.
02 / Store part numbers as text
Part numbers are identifiers, not numbers. Check leading zeros, hyphens, plus signs and suffixes before export, and avoid automatic date or scientific-notation conversion. A top marking, abbreviation or description should not replace the full manufacturer ordering code.
03 / Define the sourcing boundaries
State delivery date, destination, accepted lot/date-code conditions, factory-pack or split-pack requirements, approved brands and substitution approval rules. Mark undecided conditions for clarification rather than allowing blanks to imply no restriction. Remove unrelated cost or sensitive design details before upload.
04 / Review differences in the response
Compare ordering code, quantity, packaging, lot conditions, delivery and quote validity line by line. Review available and unavailable lines separately. Approve alternatives explicitly before updating the BOM revision. Adapt the template columns to your project; sample entries do not indicate stock.
This is general procurement guidance. Follow the latest manufacturer documentation, project specifications and agreed order conditions for the actual component.
